Acceptable Use Policy
Clear rules for responsible use of MEENS Business Email, HRMS, CRM and connected services.

1. Purpose and scope
This policy applies to every MEENS account, authorized user, mailbox, domain, API connection and connected business application. Customers are responsible for activity performed through their organization and must ensure employees, contractors and administrators follow these requirements.
2. Permission-based business communication
Use Business Email for legitimate organizational, transactional and relationship-based communication. Unsolicited bulk marketing, purchased or scraped recipient lists, address harvesting, misleading subject lines, forged sender identities and continued sending after an opt-out are prohibited. Customers must maintain evidence of consent where applicable and provide a working unsubscribe process for promotional communication.
3. Prohibited content and activity
You must not distribute malware, ransomware, phishing pages, credential-harvesting links, illegal content or material that infringes intellectual-property or privacy rights. Attempts to probe, overload, evade limits, gain unauthorized access, impersonate another organization or interfere with another customer or third-party service are prohibited.
4. Account and credential security
Use unique credentials and protect administrator accounts with the strongest authentication available. Do not share passwords, session cookies, recovery codes or API credentials. Notify MEENS promptly if an account, mailbox, device or integration may be compromised, and remove access immediately when a user no longer requires it.
5. Email reputation and resource use
Customers must maintain accurate sender identities, valid DNS authentication and reasonable sending patterns. Sudden high-volume traffic, excessive bounces, repeated complaints or attempts to bypass mailbox, storage, API or rate limits may be restricted to protect service reliability and shared deliverability.
6. HRMS and CRM data
Only collect and process employee, applicant, customer and prospect information for a lawful business purpose. Do not upload unnecessary sensitive data, discriminatory profiling data or information obtained without appropriate notice or authority. Configure roles using least privilege and promptly correct or remove records when legally required.
7. Monitoring and investigation
MEENS may use automated signals and proportionate manual review to investigate abuse, delivery anomalies, security events and policy violations. We may request supporting information such as message headers, consent records or administrator activity. Investigations are limited to what is reasonably necessary to protect customers and the service.
8. Enforcement
Depending on severity and risk, MEENS may warn the account owner, rate-limit sending, quarantine traffic, suspend a mailbox, disable an integration or suspend the organization. Serious unlawful, malicious or repeated abuse may result in immediate termination. Where practical, we provide notice and an opportunity to correct lower-risk violations.
9. Reporting abuse and appeals
Report suspected abuse to abuse@meens.in and include the sending domain, timestamps and complete message headers; never send passwords or recovery codes. Account owners may appeal an enforcement decision through support with relevant evidence and remediation steps.
10. Policy changes
We may update this policy as security threats, legal requirements and service capabilities change. Material updates will be communicated through reasonable account or website notices. Continued use after the effective date means the updated policy applies.
